Enterprise Systems(ES) are extremely important in the
process view of organizations. They can help coordinate and facilitate
communication throughout different functions as well exchange data across the
process. Any function of a business, if it wishes to be successful, needs to be
executed in a way that will not only be effective, but efficient as well. This
is an important point to remember when looking at the different roles of
enterprise systems in organizations.
Executing the process, capturing and
storing process data, and monitoring process performance are the roles that ES
is extremely important to in an organization.
But how is this done? What can ES
do to perform these tasks in the best way possible for the company? To find
out, we’ll look at each process individually.
Getting Things Done
When it comes to executing the process, Enterprise Systems play a vital role. These systems can inform employees when a task must be completed, provide the data and information needed to complete the task, and even provide the means to do so. This example shows how a system can inform the employee of a sales order and will provide them with all necessary information on what materials should be included in the order and where they may be found. ES is critical in the execution of such a process. Without it, the effectiveness and efficiency of a company’s operations is jeopardized, as well as the success of the company as a whole.Capture and Store Important Business Data
In a customer ordering process, it is important for the company to know who ordered the product, at what location they ordered it at, and the time and date at which it was ordered. This is all data that must be recorded by the organization. While this may be stored by hand, such a process can be done in a much more efficient and effective way using Enterprise Systems. These systems record who did what, when, and where. They may be entered manually as well as in automated ways by using bar codes and automated machines.Measuring And Monitoring Results
The final role that Enterprise Systems play in an organizations process is monitoring the performance. With the efficiency and productivity that ES offers, the evaluation of performance is made much easier.
To monitor
performance, the ES system offers management the ability to view information at
the instance or the aggregate level.
Information at the instance level can
provide management a look into what stage the order fulfillment process is in. It
gives customer information, details and status of the shipment, and prices
associated with the order. At the aggregate level, the ES can evaluate how well
the procurement process is being performed.
Things like calculating lead time,
time between sending the purchase order to the vendor and receiving goods, and
specific details about the orders can all be viewed and evaluated at the
aggregate level. Es also helps management monitor performance by showing what
areas can be improved upon within a company. The information made available
through ES can be evaluated and compared to company standards in a much more
efficient manner. Management can review the information and quickly make judgments
on what the company is doing well and what it needs to improve upon.
